Upgrades for May 2015

SmartSimple’s May, 2015 upgrade is scheduled to take place the evening of Thursday, May 28th. Curious to know what we’ve come up with for this round? Here’s a sneak peek at what you’ll be seeing this time around.

Global System Upgrade
This feature is an enhancement to the SmartSimple system and will be immediately available to all users as soon as the upgrade has been applied to your server:

·         Workflow Emails
Emails sent from within your SmartSimple system will now be saved to the user profile of the email recipient – for example, a grant applicant or an Independent Medical Examiner – as well as the object that triggered the email. That means that all emails related to any specific task will be saved to all relevant users and object records.

On-Demand System Upgrades
The following features are also available immediately with the application of the upgrade, but you’ll need a hand from your System Administrator to initiate them:

·         Budget Allocation Manager
Setting up budget allocations has never been easier! This functionality has been standardized, so it is even easier to create and manage your budget allocations. Check the events section of our website for an upcoming webinar demonstrating how this feature can streamline your budgeting activities.

·         New Workflow Task to Trigger Signority
This new workflow task offers the ability to automatically trigger a signature request through our Signority partner.


Beta Previews
The following features are available for beta preview. If you’re curious to see what they’re all about, contact your SmartSimple administrator or check out our events page for upcoming webinars on these and other  enhancements:

·         Interactive Report View - Phase 1
The new interactive view of reports allows users to display and manipulate data, through the actual report. Users can now easily filter, group, and aggregate data dynamically and on demand.

·         SmartCheck Validation
We're introducing a new feature called SmartCheck Validation. Now, once a form or application has been submitted, your SmartSimple system checks to ensure every field that requires completion has been filled in correctly, you will see a list of any and all errors or missing information instantly in one spot.

SmartSimple Presents at the ORCiD CASRAI Joint Conference

The SmartSimple team was honored to be a sponsor and presenter at the ORCiD-CASRAI Joint Conference that took place May 18th and 19th at the University of Barcelona in the beautiful city of Barcelona, Spain.

In the past, each held their own, large scale annual event, and this was the first year that ORCiD (Open Researcher and Contributor ID) and CASRAI (Consortia Advancing Standards in Research Administration Information) have jointly hosted an event, bringing their respective communities together to explore the latest issues and innovations in research information, academic communication and standards for working together in research administration.

This year’s conference theme was Research Evaluation, with an emphasis on emerging practice in the Humanities and Social Sciences and included a mix of presentations and discussion sessions by industry experts from around the world. Session topics included “Beyond Authorship: Recognising all research contributions.", “Gaps and assumptions in our research assessment approach.”, and “Capturing information from diverse sources”.

SmartSimple’s Director of Strategic Initiatives and Product Marketing, David Resnick, and Director of Operations for EU , Brian Fallon  hosted two sessions during the conference; Integrating ORCID: A Research Funders Perspective“ and “Linking Outputs to Investigators, Organizations and Projects.”

“We were happy to have the opportunity to present and share the lessons learned by SmartSimple in collaborating with organizations like ORCiD,” says David. “The European market is so exciting, and we’re eager to learn and share. We’ve had such great success with funders like Science Foundation Ireland that we are excited to work with more organizations that do such important work.”

This means all communications for every activity is now fully tracked.

New! Online Document Signing for Requests for Service (RFS) at SmartSimple.

As part of our enhanced RFS process, SmartSimple will be using online document signing exclusively for all approvals. Eliminating the current paper-based process will not only save time and money from having to print, scan and email multiple documents, it will provide easier tracking of changes and approvals in real time.

Through Signority, SmartSimple is taking the process of RFS approvals out of the boardroom and into the cloud. Documents can be amended, revisions tracked and approvals filed online, just like everything else in your SmartSimple system.

Are you ready for a new grants management system?

So you’ve decided to look for a new grants management system. Maybe you want to move away from paper based applications, or maybe it’s simply time to retire your current system and work with something more suited to your evolving needs. Regardless of your motivation, do not underestimate what a successful implementation will require.

So how do I know if I’m ready to implement a new grants management system?
The two primary factors are the state of your current processes and a commitment to change management.

Let’s say someone who knew nothing about your organization asked you to explain your granting process. Could you do it? Even more importantly, would your colleagues describe it the same way?

It may seem obvious to you how everything works, but explaining it to someone new can reveal hidden gaps you didn’t realize existed.

Another consideration to keep in mind: are all of your stakeholders ready for the change? What will it mean to your staff, grantees and board members?

Even if your process or change management plans need some work, that doesn’t mean you can’t get the ball rolling. Think you might need some help? It could be worth looking into an outside advisor. In fact, many of our most successful implementation projects have included the assistance of a qualified consultant.

What is a consultant?
A consultant can be a major asset in helping you not only get organized, but in deciding what kind of grants management system, and therefore which vendor, is best suited to your needs.

There are all kinds of professional consultants out there, but a select few who have the expertise and experience to work with foundations. The levels of information to be gathered, tracked and evaluated are not only complex, but unique to your industry; not just anyone will be able to help.
