SmartSimple's 360 Software Series: Authentic Contact Relationship Management

You might have noticed that all of SmartSimple's software suites are named 360°. Why, you ask? We want to provide you, our clients, with a software solution that provides a full, holistic view of the relationships and processes that matter to your organization.

Contact relationship management (CRM) is an essential component of SmartSimple. Contacts can be internal, external, and adjusted to reflect their most current status (e.g. a new employer). You can create an unlimited number of relationship types as well.

Everything you need to track is done as a result of your contact’s interaction with the system. For instance, once an applicant uploads a financial statement, report, or meeting minutes to your system, you can easily identify those who belong to a given organization, and those who are associated with it.

The image below displays the applicant and organization attached to a sample grant application:

By clicking on the applicant's name, you’ll be directed to their profile where you can view vital information such as contact details and their associated organization.



From here, you can click the organization name to view their profile. The organization profile displays all associated contacts, activities, applications and more:



Google Map integration provides a fantastic geographic view of all your system’s contacts and related organizations.

Say you need to conduct a site visit for a client, and you’d like to view their location beforehand. All you need to do is click the street address in a contact or organization’s profile, and voila!  



You can even select the Street View tab for a more accurate look:


These features unite to provide the essence of our 360° software series: a full, 360° perspective in which you can view all records attached to a contact, and all contacts attached to a record. SmartSimple has curated this method of CRM to provide our clients with the most authentic and efficient way of managing their contacts and organizations.

Productivity tip:
Manage your time by prioritizing tasks. The easiest way to keep track of your time and tasks is to keep a to-do list. Ranking your tasks based on priority is key. This will also ensure you won't forget tasks or miss deadlines.

What is your favourite part about working for SmartSimple?
The people! Everyone works together so well, and it's a great team to be a part of.

What are your hobbies?
Watching TV, hanging out with my family, and my puppy Jade.

What is your favourite movie?
Devil's Advocate.

SmartSimple Client Story: Consortium of Florida Education Foundations

The SmartSimple Client Story series highlights different clients and sheds light on how they came to choose and trust SmartSimple as their management software adviser.

About CFEF


The Consortium of Florida Education Foundations (CFEF) is the professional association for Florida education foundations that serve over 2 million students and 295,000 educators throughout 67 county-wide school districts.

The CFEF serves as the conduit for business and philanthropic investment in Florida’s classrooms by creating state and regional partnerships that directly impact student achievement at the local level.

Challenges


CFEF was in a position where they had outgrown their previous grants management system. As the CFEF granting program grew, the system remained stagnant. It was unable to accommodate new processes and meet evolving business needs. The grant application form, for instance, could not be edited or changed to any degree.

“There was little flexibility with our old system,” says Tracy Burger, the Associate Director of Programs at CFEF. “This became problematic because of the costs and time involved in making changes.”

CFEF began their search for a management software solution that was adaptable and scalable – in other words, a system that could easily function under the duress of change. Due to their relatively small staff, they required a solution that was simple to learn and easy to master.

Selecting SmartSimple


While the Request for Proposal stage of software acquisition is daunting for many foundations, CFEF’s choice became clear once they were presented with SmartSimple’s GMS360° grants management system.

“It was a combination of many factors,” Tracy says of choosing GMS360°. “Straightforward presentation, simple pricing structure, the assurance of strong technical support, and the ability to adapt the system to our needs made SmartSimple stand out above the rest.”

Additionally, SmartSimple’s strong presence in the grants market, experience in implementing cloud-based software, and the robust features of its platform made GMS360° the obvious choice for CFEF.

How SmartSimple Helped 


Once SmartSimple entered the picture, CFEF was able to relate the issues they had with their previous system, and SmartSimple responded accordingly.

“The SmartSimple team recognized our needs, created a system to meet those needs, and made it manageable to a non-technical staff such as us.”

CFEF’s old system was antiquated to the point where administrators did most of the processing by hand, with paper applications entered manually into their online database. With GMS360°, that process has been completely streamlined thanks to its online cloud-based infrastructure. Additionally, application forms are now configured specifically for the foundation.

“Having the review process online has been a great time saver,” Tracy expressed. “I can download individual scores if needed, post reviewer comments directly to the application, and tally scores very quickly.”

External users have also been very vocal about the improvements to CFEF’s granting processes. GMS360° has enabled CFEF applicants to easily toggle back and forth between application sections, and save at any point they choose. The foundation’s reviewers have especially enjoyed the ease of viewing applications online and entering scores at the same time – an important feature that simply was not possible with the old system.

Implementation


SmartSimple performed the implementation of CFEF’s GMS360° system in several phases. This was done to ensure that CFEF was able to interact and grow comfortable with GMS360° throughout its deployment process. This method of project delivery also ensured that SmartSimple was able to incorporate CFEF’s valuable feedback in stages throughout the process.

Implementation began with the configuration of application templates and the migration of CFEF’s existing contacts and organizations. After the application review processes were built, post-grant functionality (such as reports) was completed. Quality assurance testing was completed shortly after, followed by the implementation of payment tracking functionality.

CFEF staff was closely involved throughout the deployment process. Tracy and her team were particularly impressed by the malleability of GMS360° during its build. “The system has a myriad of capabilities beyond its grants program. SmartSimple staff was able to recognize our needs, create a system to meet those needs, and make it manageable for us, a non-technical staff.”

“We were incredibly pleased with the attention we received during implementation. Our one-on-one relationship during this stage felt exclusive, which limited any frustration for us.”

After a meaningful and collaborative deployment process, the system officially went live in October 2013 and feedback from both CFEF staff and grantees was immediate and positive.

“We look forward to a long working relationship with SmartSimple,” Tracy says. All parties are very optimistic about the longevity of SmartSimple as CFEF’s grants system adviser, and are excited to see what the future holds for this successful partnership.

Karim Fahmi is a Technical Resource for our Sales team and has been working for SmartSimple since March 2013. We get to know Karim better in this week's Employee Spotlight, which includes his best productivity tip, favourite movie, and his musical background!


Productivity tip:
When uploading data into the system, always test first by taking a sample of that data and ensuring it is loaded properly. Then, load the rest of the data. This will help you avoid unwanted records and save time. If the data is bad, you will only have to remove the sample you uploaded, as opposed to removing everything that was loaded.

What is your favourite part about working for SmartSimple?
The people I work with every day. It's almost like a little community on its own. SmartSimple is made up of people from all over the world with a variety of educational backgrounds and unique skills.

What are your hobbies?
I love to watch TV (Top Gear UK, Criminal Minds, Big Bang Theory, Modern Family) usually with a pack of Skittles or some sort of sour-flavoured candy.

Favourite movie?
The Avengers.


A random fact about you that most people wouldn't know:
I used to be in a jazz band for all four years of high school. I also used to play the trombone.

Giving Thanks for #GivingTuesday

#GivingTuesday is a growing global movement that takes places today, the Tuesday after Black Friday and Cyber Monday. After a long weekend of shopping and deals, #GivingTuesday is a new day for giving back to charities and nonprofit organizations. As the tagline says, "Help good go viral."

Google Hangout-a-thon

Google is hosting an all-day #GivingTuesday Hangout to encourage users to either donate directly to nonprofits or purchase goods for good. They’re partnering with Mashable to feature over 24 charities and brands for users all over the world to support.

Join the Hangout while you can, it ends at 9 pm EST!

The Unselfie

An interesting sub-movement that’s been gaining traction is the “unselfie”, a charitable response to the trend of taking pictures of oneself and uploading them to our favourite social media sites.

The unselfie trend asks that you write a quick personal pledge on a piece of paper, which could include your favourite causes, charities, or your own #GivingTuesday goals.  Then, simply hold that pledge over your face, snap a pic, and share with the world using the #unselfie hashtag.

Sarah Harris is SmartSimple's Operations Manager and has been working for SmartSimple since May 2010, where she began in Administrative and Accounting Support. In this week's Employee Spotlight, we get to know her favourite movie, her diverse hobbies, and a surprising craft project from her past.

Productivity tip:
Work back schedules are the best way to prioritize your work and ensure you understand what's on your plate at any given time. If you're overwhelmed by having too many things to do at once, this is a great exercise. It also works well for team projects.

What is your favourite part about working for SmartSimple? 
I really enjoy working with a diverse group of people. SmartSimple employs great team players.

What are your hobbies?
I am a former dancer, and an avid yoga and Pilates practitioner.

What is your favourite movie?
A Single Man. Tom Ford's treatment of Christopher Isherwood's novel was perfection.

Random fact about you that most people wouldn't know:
In grade four, I made an entire miniature medieval castle out of food for a project. It involved lots of cheerios, pretzels, and hot glue. (Could this be the next way we create our SmartSimple UTA diorama?)

Productivity tip:
What is the one thing that everyone in the world has in common? We all have 24 hours in a day. I think the most important thing is how well you utilize your time, especially working in a fast-paced environment. I for one take 5 minutes every morning to plan out my day with the tasks I want to accomplish. The most important time of the day for me is the time I take to plan it.

What is your favourite part about working for SmartSimple? 
I really like the transparency within the organization. Everyone is open to collaboration and sharing. The culture fosters knowledge sharing.

What are your hobbies?
I am a big Leafs fan. I also watch a lot of films.

What is your favourite movie?
Requiem for a Dream.

Random fact about you that most people wouldn't know:
I have a very rich background. I was born in Saudi Arabia and came to Canada when I was 6. My parents are born in Pakistan - my mother is from Iran and my father is from Afghanistan. My father's family tree dates all the way back to the early 1900s.

Cool Things to Do with Google Maps in SmartSimple

At SmartSimple, we've been working with Google to bring Maps and Street View right to your system. With our October 2013 upgrade, all clients can now enjoy this functionality. But did you know that there's way more to Google Maps than getting the right directions?

There are loads of cool ways you can use Google Maps in your SmartSimple system, you probably just don't know about them yet. That's why we're here to help!

Viewing Contacts on Google Maps

 

Say that you wish to visit a person or organization in your system's address book. SmartSimple's integration with Google Maps will now give you a clear snapshot of their location. When you click on the address of a contact or organization in your system, a nifty little window will appear with that address on Google Maps.


If you’re curious about what the location looks like, you can select the Street View tab for a more photographic point of view.

Map Overlays


Does your organization serve different neighborhoods or districts? If you want a visual touch that goes beyond a mere list of addresses, you can use the system to add Overlays to your organization's map.


Overlays are useful in visually organizing your service area and other locations relevant to your organization. They can be uploaded into your system and can be used in any way you see fit, such as making use of census data.

The scope of Map Overlays is entirely up to you as well. They can range from your local service area to your organization's congressional districts, and beyond.

I’ve been playing cello for about 15 years now, and I was the principal cellist of both my high school and university string ensembles.

The Chambers Ireland Corporate Social Responsibility Awards is celebrating its 10th year, and SmartSimple is excited and humbled to announce that we will be attending the celebratory reception on Monday, November 11, 2013.

This year's meeting will focus on the following theme: Learning From the Past/Shaping The Future. Topic discussions and seminars will examine philanthropic issues such as governance, social impact, disaster philanthropy, economic shifts, and emerging issues such as new media and legislative updates.

SmartSimple's October 2013 Upgrade

We've officially released our October 2013 upgrade! Read on for a rundown of the latest enhancements, features and upgrades that have been added to your SmartSimple system this month. For more information, check out the upgrade section of the SmartSimple Wiki.



Global System Upgrades

These features are available immediately to all SmartSimple users with the application of the October 2013 upgrade to your server.

Configuration Error Log
Available under Global Settings, the Configuration Error Log is a new tool that troubleshoots errors generated by the system when configuration changes.

New Calendar Format 
The system calendar has been enhanced with a new look, as well as the ability to click and drag events into different days. 

Google Maps & Street View
Users now have the ability to view the Google Map and Street View location of a company or contact by hovering their mouse over that contact's street address. 

Recent Viewed Objects List Now Enabled by Default
The Recent panel was introduced in last month's upgrade and is now auto-enabled for all roles. However, this feature can still be disabled using Manager Permissions.

On-Demand System Upgrades

These features are also available immediately to all SmartSimple users with the application of the upgrade, but they must first be enabled or configured by a System Administrator.

Creating Multiple PDFs with a Single Workflow Task
System Administrators can now enable the PDF file creation workflow task to create multiple PDF files from multiple web page view fields.

Update Company Categories with Workflow Tasks
A new workflow task type, Update Company Category, can now automate the action of adding or removing an organization category from an organization profile.

Chin's Musings - Variable Processor Best Practices

Welcome to another installment of Chin's Musings! In this series, Systems Controller Chin Chuah will create helpful rundowns of various system features and processes to help you better understand the SmartSimple platform. These articles are geared toward experienced SmartSimple system users.

The Variable Processor is used to dynamically replace various values throughout the system with context to the current user or the object being viewed. While the Variable Processor is a very powerful and useful tool, one must understand the basics behind how it functions to configure it properly.

In general, any time that you retrieve a variable for use in a calculation, evaluation, or assignment to another standard field, you need to always encapsulate it within double quotes.

In Template Formulas
Problem 1:
@level1.name@=@level1.owner.firstname@ @level1.owner.lastname@;
Reason:
When assigning a string value into a custom field, the string must be encapsulated within quotes. This example would cause an error on the server and nothing would be saved to @level1.name@.

Problem 2:
@level1.name@='@level1.owner.firstname@ @level1.owner.lastname@';
Reason:
Names with apostrophes (e.g. Chin O'Brien) will terminate the single quoted string. This will cause an error on the server and nothing would be saved to @level1.name@.
Solution:
@level1.name@="@level1.owner.firstname@ @level1.owner.lastname@";
Always use double quotes around strings to be safe.

In Browser Scripts
Problem 1:
frm.cf_@customfield.id@.value="";
Reason:
In some cases where the field value is null, the variable processor will not replace the variable with a blank and you will see frm.cf_@customfield.id@.value on the page. This will break this particular script and hence any subsequent script functions that follow afterwards on the page.
Solution:
document.getElementById("cf_@customfield.id@");

Problem 2:
var oppid=@opportunityid@;
Reason:
Again, when the variable doesn't exist or is blank, this script will break and all subsequent scripts as well.
Solution:
var oppid="@opportunityid@";

In Visibility Conditions
Problem 1:
@opportunityid@>0
Reason:
When you create a new Level 1 it will look like the condition's working as you don't see the field, but in reality, this will cause server errors. This occurs because the @opportunityid@ is not replaced, as that value does not yet exist for new Level 1s. An error will cause the visibility condition to always fail, which will lead to undesired behaviour.
Solution:
"@opportunityid@">0
Note: For this particular example, there is a check box setting within the custom field configuration that allows you to hide fields on new objects until the object is saved at least once.

Everywhere Else
Problem 1:
@ReportProperty(12345,recordcount)@ + @custom number@
Reason:
If either of the above values is blank or null, this will cause an error and will not work.
Solution:
"@ReportProperty(12345,recordcount)@"*1 + "@custom number@"*1
The *1 is used to explicitly cast the result into a numeric value. This is needed in the cases that your @custom number@ contains an alphabetic character, the  *1 will convert it to a 0. If for some reason you use a @ReportProperty()@ that returns blank, ""*1 will also convert to a 0.

Problem 2:
Not using quotes within @sslogic()@ or @sscalculation()@ conditions will also create errors, but again, you may be oblivious to them as the @sslogic()@ doesn't show up. This may appear to be correct for certain situations.

Note - The following situations should be considered:

1) The .inRole variable will always return the values of true or false so there is no need to encapsulate this within double quotes (i.e. @me.inRole(Organization Contact)@).
2) When the variable value you are retrieving contains double quotes within itself you will need to escape these, or encapsulate the variable within single quotes if you are sure the variable value does not contain single quotes within.

Chin's Musings - Correct Data Format

Welcome to another installment of Chin's Musings! In this series, Systems Controller Chin Chuah will create helpful rundowns of various system features and processes to help you better understand the SmartSimple platform. These articles are geared toward experienced SmartSimple system users.

What are data formats and why are they important?
When storing any information into any system (not just limited to SmartSimple) it's important to understand what type of information you're dealing with and how to format it accordingly. The purpose of this is to store information in a meaningful way such that you can perform calculations or analysis on it.

Take the example of someone's name. The easiest way to store this would be to have a single field called "Name" for us to store our full name into. However, the problem occurs when we try to manipulate or analyze this name field. We can't separate it into first/last name if we want to sort our contacts by last name, or if we want to address them as Mr./Mrs. lastname.

Solving this problem is simple. Use multiple fields that force the user to be specific and enter the data as such. We can do this by using separate fields for first name, middle name, last name, and or even a title field for Jr/Sr.

How can data be formatted correctly?
For information to be meaningful and useful, it must be formatted and stored correctly. It is unsafe to try to manipulate unstructured and unformatted data into another format. Data can be stored and represented correctly by:

1) Designing our architecture and schema in a meaningful way to begin with (e.g. using multiple fields to store a name in the example above).

2) Forcing the data input into a specific format.This can be done by using data validation and transformation techniques (e.g. validating that users can only enter alphabetic characters, apostrophes, and hyphens as their name input).

Where and how can data be stored?
The main area to consider is the custom fields that you create and how you design them. Some specific examples include:

1) Date/time: These values should always be stored as a single Date/time value. From this you can extract the year, month, date, day as numbers or words, etc. Specifically for MySQL (and most other areas for easy sorting), the necessary format is "YYYY-MM-DD HH:MM:SS". By using the Date validation on a custom field you can enforce a uniform date formatting to be stored in the system regardless of how each individual user specifies the way they wish to view dates.

2) Numbers: Always store numbers exactly as they are. Consider how you would store currency data. When you use the Numeric validation and Currency formatting on a custom field, the system actually stores the number value to the full number of decimals and without a currency symbol (e.g. "12.948576"). However, when the system displays this field, it is rounded to two decimals and with a currency symbol (i.e. "$12.95").

3) In general: Always have a specific format for any standard data. For example, the Canadian postal code could be entered as "M5V 2H1" or "M5V2H1" (among other variants using lower/upper case letters). Best practice would be to enforce that the user always enters one specific format with upper case letters. This can be done using the validation configuration of a custom field.

AODA Compliance and SmartSimple

In accordance with the Accessibility for Ontarians with Disabilities Act (AODA), SmartSimple has created a Customer Service Accessibility Policy which is now publicly available for download (right click, save as).

AODA is a statute that was enacted in 2005 to improve accessibility standards for Ontarians with mental and/or physical disabilities.

On October 3, we partnered with Sarah Vokey of Robinson Heeney to present our policy to SmartSimple employees in accordance with AODA standards.

Brian Lai Receives the First SmartSimple Innovation Award

Congratulations to Brian Lai (Business Analyst) for being the very first recipient of the SmartSimple Innovation Award!

This award is given on an occasional basis by Michael and Keith Yau (Chief Technical Officer).  Anyone in the company or the community can nominate staff member(s) for this award, but the innovation must meet the following criteria:

  • Can only use existing functionality and does not require system enhancements.
  • Must have the potential to benefit the entire customer community across all vertical markets.

Council on Foundations Fall Conference

Director of Strategic Accounts Todd Lapin and Relationship Manager Sarah Jane Nicholson attended the COF Conference in San Diego from September 22-25. Todd and Sarah Jane were on hand to demonstrate our grants management system, GMS360°, and learned the unique needs of several diverse community foundations.

Chin's Musings - Template Formulas

Welcome to another installment of Chin's Musings! In this series, Systems Controller Chin Chuah will create helpful rundowns of various system features and processes to help you better understand the SmartSimple platform.

What are Template Formulas?
Template Formulas provide a method for updating standard/custom field values on an object behind the scenes upon saving. They let you perform extra calculations after saving an object. They can be handy because they let you:
  1. Update an object and perform calculations after it's been saved (i.e. support ticket subjects). Say you want to combine an autonumber field with the Level 1 subject, but when you first create the Level 1 the autonumber hasn't been reserved and stored yet until after you save. (For more information about the Universal Tracking Application and the different Level Entities, read our wiki.)
  2. Affect objects at different levels (i.e. a Level 2 formula can be used to update a Level 1, an Level 1 formula can be used to aggregate its contacts).
  3. Easily perform difficult calculations with MySQL functionality and avoid heavy scripting (i.e. perform business day calculations).
Where can you configure Template Formulas?
The configuration settings can be found on most entities now, such as Universal Tracking Application Level 1, Level 2, Level 3, transactions, contact roles, company categories.

How are Template Formulas used?
You must specify valid MySQL syntax within the settings box, and each line is ended with a semi-colon. Each line is processed sequentially and in order after saving an object.

When do Template Formulas run?
Template Formulas run after an object is saved and uses the newly saved field values for their calculations. They are also chained such that when saving a Level 3 the formulas run in the order of Level 3 global formula, Level 3 type formula, Level 2 global formula, Level 2 type formula, Level 1 global formula, Level 1 type formula. When deleting a Level 3, the formulas for the Level 2 and Level 1 are also run.

Disclaimer
Template Formulas are run by the server, so for performance considerations should not be abused. A Template Formula should only be used when a calculation can not be achieved on the page with calculated value custom fields, or when trying to update a field that does not exist on the page (i.e. at Level 2 you wish to update a Level 1 field).

Online Scholarly Sources for Researchers

Search engines such as Google, Bing or Yahoo may be more than adequate for general web searches, but for our clients who work diligently in research, medicine and academia, more scholar-focused databases are desired.

The following four scholarly sources - each with their own different advantages and disadvantages - are repositories of academic papers, studies, and peer-reviewed research literature:

Google Scholar

 

Google’s very own database of scholarly literature is relatively new, but nonetheless has an expansive catalog. You can browse by discipline and filter out general magazine, newspaper, and blog posts. However, full-text versions of many recently indexed papers are only available if you pay a fee. | Find it here.

Microsoft Academic Search

 

Microsoft’s own academic search engine provides tools to help researchers explore and visualize scholarly content in different ways. For instance, both graphical and snippet views of citations are available. Limitations to the database exist, however. Unlike Google Scholar, Microsoft Academic Search does not index legal documents. | Find it here.

PubMed

 

PubMed is a vast online database of citations for biomedical literature, making it the go-to option for those in the field of medical research. While PubMed contains more than 20 million articles, free access is not fully available for all. | Find it here.

Social Science Research Network (SSRN)

 

As the name suggests, this collaborative project consists of specialized research networks in each of the social sciences. Hundreds of different subject areas are covered, with nearly 500,000 scholarly working papers available. Author-submitted content on SSRN is freely downloadable with no user fees. | Find it here.

In order to help end users complete forms with multiple Submit Logic validations, SmartSimple will now display all alert messages configured with Submit Logic into a consolidated alert window.

Recently Viewed Objects
A new right-hand panel titled "Recent" is now available, which displays your most recently viewed records. To display this panel, simply enable the settings through Manager Permissions.

Scheduling Reports
Reports can now be scheduled to run daily, weekly, or monthly. These reports can be configured to store custom field values to SmartSimple records, which allows for the periodic aggregation of data. This feature is available to all System Administrators.

Basing Summary Cross-tab on Standard Fields (Arcadia)
If you are using SmartSimple's next generation interface, Arcadia, you can now use the Summary Matrix to configure the cross-tabs of your reports. Previously, the default display of the cross-tabbed view used an application's statuses as column headings and templates as the row headings.

With the September 2013 upgrade, System Administrators can enable Customer, Branch, Person, and Owner standard fields to be used as alternate cross-tab headings.

Setting the Column Alignment in Report Builder
Columns in reports can now be set in the Report Builder to be left-, right- or center-aligned without resorting to custom HTML.

IRS/CRA/OFAC Automated Checking
The SmartSimple system can now be configured to perform automated verification of contact records, as well as organization records, against the OFAC database. Additionally, the settings page to configure the automatic verification of records against the IRS/CRA/OFAC online databases has been simplified.
